    Responsibilities

     

    Frontline Education is seeking an energized and detail-oriented Senior Event Coordinator for our Marketing department located at the Frontline Malvern Corporate Headquarters.

     

    The Senior Event Coordinator, along with other event coordinators in the marketing department, will support various event support needs including: making travel arrangements, coordinating meetings, preparing and sending email communications, maintaining an accurate events calendar, packaging and mailing materials, preparing expense reports, and updating websites with pertinent details about upcoming events.

     

    Additionally, the Senior Coordinator will be responsible for an array of event planning responsibilities such as researching and selecting hotels for customer events, soliciting vendor proposals for event meeting space, food & beverage, technology requirements, and room setup, negotiating for best rate prices from vendors, and managing event and travel budgets.

     

    Traveling to select customer events may be required up to 20% of the time throughout the year to provide on-site event coordination support. The Senior Coordinator will act as the liaison between the hotel facility’s planner, Frontline staff, and customers attending the event and will troubleshoot and resolve issues that arise prior to and during events. At the conclusion of each event, the Coordinator will gather feedback from customers and staff, and disseminate and act upon the feedback as appropriate to enhance future events.

     

    The Event Coordinator will maintain a high level of communication with other internal departments to ensure the success of all events.  Responsibilities include:

    • In conjunction with VP of Marketing and the events team, help shape and optimize the event strategy for Frontline Education
    • Work closely and professionally with key stakeholders, including executives and c-suite personnel, to ensure all event objectives are clearly understood and executed accordingly
    • Maintain exemplary relationships with external vendors and identifying potential new business relationships, championing the most productive partnerships for the company
    • Negotiating vendor contracts within strict budgetary parameters, tracking financial benefits resulting from negotiations
    • Create, track and manage event budgets closely, producing post-event budgeting reports
    • Collaborate with multidisciplinary teams to execute events including Facilities, IT, graphic design, legal, accounting and others as appropriate
    • Coordinate details of events such as conferences, trade shows, sales meetings, business meetings, employee appreciation events and virtual events
    • Schedule speakers, vendors, and participants.  Create invitee lists, send invitations and manage RSVP list
    • Ensure that all presentations are scheduled, and decks are prepared for speakers
    • Negotiate and secure event space.  Secure sponsorships
    • Coordinate and monitor event timelines and ensure deadlines are met
    • Initiate, coordinate and participate in all efforts to publicize event and work with designers to edit and design promotional materials
    • Work with printer and designer to develop event invitations
    • Coordinate event logistics, including registration and attendee tracking, presentation and materials support and pre- and post-event evaluations
    • Keep inventory of backdrops, projectors, computers, and other display materials at corporate site

    Qualifications

    The ideal candidate will have at least of 2 years in event management with a passion for the customer experience.  We also seek the following:

    • Maintains a high degree of composure and keeps positive attitude in high pressure moments while maintaining a solution driven mindset
    • Ability to formulate processes necessary to accomplish goals in the most efficient and effective way
    • Able to quickly shift project priorities as event criteria fluctuates
    • Adept at prioritizing issues in time sensitive situations
    • Excellent written and verbal communication skills
    • Proficient in Microsoft Office 365 programs. Understanding of Wrike Project Management software a plus
